Connecting a Library or List

Users can connect PoolParty to a SharePoint library through a helpful wizard. This article provides info on how to make a successful connection.
The wizard in the Connect content section lets you connect individual SharePoint libraries and lists to PoolParty and Term Store taxonomies, specify document fields or list items for tagging, and set tagging parameters.
Important
If in addition to the PoolParty-based tagging you also want to enable the Term Store-based tagging for the Managed Metadata fields, use the Term Store synchronization module to make sure that the Term Store and PoolParty taxonomies are in sync before you start. GUID synchronization is not required.
This page describes the content connection process. It covers the configuration of concept schemes and the Managed Metadata connection as well as other advanced configuration settings.
Click Connect content on the Graphwise for SharePoint Administration page to open the Connect content (1) page in the Graphwise for SharePoint wizard.
On the Select site page (2) pick the site (a) containing documentation or a list with the items you want to auto-tag. Click the Next (b) button to confirm.

Note
Make sure that a tenant administrator gives Graphwise for SharePoint write permissions to this site. For more information, refer to Configure Site Permissions.
Use Select document library or list (3) to pick a library or list (a) with the content that you want to auto-tag. Click on Next (b) to proceed.

This takes you to the Select fields (4) page where you can select the fields (a) of the document library or the list with the content you want to auto-tag. Confirm your selection with Next (b).

Note
The document body in the document libraries will always be auto-tagged.
Next on the Select a taxonomy page (5), select a PoolParty taxonomy (project) (a) to be used for auto-tagging of the content. Confirm with Next (b).
Note
In this step, you can only select one taxonomy. If you want to tag any list or library with multiple taxonomies you will have to repeat the entire connection procedure. Even if you only want to use Term Store-based tagging for Managed Metadata fields, you need to select a Poolparty taxonomy. Next, select the language of the content (b). The desired language must be specified in the selected taxonomy. If you want to store all tags in a single Graphwise for SharePoint field, type in a name for the new field that will be added to the document library or list (c).
To store tags in separate Graphwise for SharePoint fields reflecting the concept scheme that these tags belong to, select Enable concept schemes to continue with the configuration on the newly opened pane (d). Otherwise continue with Next (e).

On the Set tagging parameters page activate Enable automatic auto-tagging (a) if you want Graphwise for SharePoint to automatically auto-tag items added to your document library or list at a later time. Items that are currently there will not be automatically auto-tagged. Then, specify the minimum tag score (b). The higher the score, the fewer tags you will get but they will be more relevant. Finally, set the maximum number of tags per item (c).
You can optionally perform Advanced configuration (d) to adjust specific tagging settings.
Click Connect to taxonomy (e) to complete this procedure or use the Back button to review or adjust any of the settings you specified in the previous steps.

If you want to start auto-tagging, select Go to library or list. For more information, refer to How to Trigger Auto-Tagging.
Activating the Enable concept schemes option on the Select a taxonomy page opens a new pane where you can specify your desired concept scheme settings.

To create a new SharePoint field and populate it with concepts from a particular PoolParty concept scheme, click on Add concept scheme (I) enable the selection (II) of the desired concept scheme from those contained in the taxonomy you have selected on the Select a taxonomy page. Then type in a name for the new field in the Tags field name field (III) . This field will contain tags from this concept scheme and will be added to the document library or list. Use the Concept scheme pulldown (IV) to display the available concept schemes.
Tip
Click Remove to delete any previously inserted rows.
Repeat steps 1 and 2 to add as many concept schemes as desired. Each concept scheme can only be selected once.
Tip
If you want to store tags from multiple concept schemes in a single field, use the same field name.
When you are done click the Save (V) button.
Here you can set advanced tagging parameters. These settings can be accessed on the Set tagging parameters page.
Select a corpus (i) to be used for corpus scoring. If you select a corpus, the scoring will take the the extracted terms' relevance scores into account. This is particularly useful for short documents where the term frequencies are low and the scoring based on the document alone does not provide satisfying results.
To enable the system to use the thesaurus and local context to resolve potential ambiguities, select Disambiguation (ii).
To exclude nested concepts from extraction, select Filter nested concepts (iii). A nested concept is a concept that occurs within another one in a document.
If you want to tag your content with a Term Store taxonomy and store the tags in the SharePoint-native metadata columns (Managed Metadata fields), select Managed Metadata connection.
Confirm with Save (v).
These settings are part of the Advanced configuration and can be accessed there.
Select a Term group (A) containing the term set to be used for tagging.
Note
The term group you select should be in sync with the selected PoolParty taxonomy. Use the Term Store synchronization module to make sure that they are exact copies of each other. GUID synchronization is not required.
Select the Term set (B) to use for tagging. The term sets you select must belong to the term group you specified in the Term group field.
Note
In SharePoint, one Managed Metadata column can only contain terms from one term set (not from from multiple term sets even if they are part of the same term group). If you select a taxonomy with multiple concept schemes for PoolParty-based tagging, you can decide whether you want to map this connection to some or all term sets of the corresponding Term Store term group.
If you enabled concept schemes, select the name of the Graphwise for SharePoint tag field for the Concept scheme (C) that is equivalent to the term set you selected in the second step.
Type in a name for the new Managed Metadata field (D) that will contain tags from this term set and will be added to the document library or list.
Note
Using existing metadata columns is not supported.
If you want to tag content with multiple term sets, you can either manually connect the term sets by clicking the Add connection (E1) button and repeating steps 1 to 4, or connect the term sets of the specified term group in bulk by selecting Generate connections (E2) and then providing a name for the new Managed Metadata field.
Note
There can only be one Managed Metadata field per term set.
To delete connections to term sets you do not want to use for tagging, select Delete connection.
Tip
You can use the settings of this connection to connect other SharePoint lists and libraries. For more information, refer to Connecting Multiple Libraries & Lists Using Preset Connection Settings.
Tip
One SharePoint list or library can be connected to multiple PoolParty taxonomies. To connect the library or list to another taxonomy, repeat the steps above describing how to connect content.

One SharePoint list or library can also be connected to a single PoolParty taxonomy more than once, each time with unique settings. To connect the library or list to the same taxonomy, repeat the steps above describing how to connect content.
